This privacy policy explains how GBS Guard Building Services ("we", "us") handles personal information when you use this website or contact us about building work. We handle personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

GBS Guard Building Services is the trading name of this building business, based in Rochester and working across Kent and the South East. We are the data controller for personal information collected through this website and through calls, WhatsApp messages and emails to us.

What we collect

You contact us by phone, WhatsApp or email. Depending on how you get in contact, we may hold:

  • Your name, if you give it
  • Your phone number or WhatsApp number
  • Your email address, if you write to us
  • What you tell us about the building work, the house and the town
  • Notes we make while quoting or carrying out that work
  • Messages and files you send us

The website host may also keep technical logs, such as IP address, browser type, date and the pages requested. Those logs are used to run and protect the site.

We do not ask you to create an account, and we do not run advertising or analytics tools on this site.

How we use it

We use personal information to:

  • Reply to calls, WhatsApp messages and emails
  • Prepare quotes and carry out building work you ask us to do
  • Keep records of quotes, jobs, invoices and any follow-up
  • Meet legal duties, including tax records
  • Deal with insurance matters if a claim needs them
  • Keep the website secure

We do not sell personal information. We do not use it for automated decision-making or profiling. We do not send marketing mailings.

Lawful bases

Under UK GDPR we rely on:

  • Contract. Taking steps you ask for before a contract, and carrying out building work we agree with you.
  • Legitimate interests. Replying to enquiries, keeping job records, and running this website in a way you would reasonably expect. We do not use this basis where your rights should come first.
  • Legal obligation. Where the law requires us to keep or share a record, including tax.

Who we share it with

We share personal information only where it is needed for the work, or where the law requires it. That can include:

  • Suppliers or other trades, where they need a detail to price or carry out work you have asked for
  • An accountant, insurer or similar adviser, where a tax, insurance or legal reason requires it
  • WhatsApp (Meta), if you message us on WhatsApp. Meta then handles that message under its own terms
  • Yahoo, because email to krguard1@yahoo.co.uk is received through Yahoo Mail, under Yahoo's own terms
  • Google, if your browser loads the map on the contact section. Google may then receive technical data such as your IP address
  • The company that hosts this website, for technical logs needed to serve the pages
  • A public authority, if we are legally required to disclose something

International transfers

We are based in the United Kingdom and we keep our own notes here. WhatsApp (Meta), Yahoo and Google may process messages or map data on systems outside the UK. Where they do, they are responsible for using a lawful transfer route, such as a UK adequacy decision or standard contractual clauses. We do not control those networks. How long we keep it

Messages that do not become a job are kept only while we need them to reply, and for a short period afterwards in case you call back, then deleted. We would not normally keep that sort of message for more than 24 months.

Quotes, invoices and job records are kept for the life of the work and for as long as we need them for defects, insurance and tax. Tax records are usually kept for six years. Technical logs are kept for the period set by the host, which is typically shorter.

Security

We take reasonable care to limit who can see job notes and messages. No phone, email or website store is perfectly secure, and we cannot promise that. If we believe a breach is likely to risk your rights, we will tell you and the ICO where the law says we must.

Cookies and the map

This website does not set advertising or analytics cookies. Fonts are stored with the site, so the pages do not call a font service. The host may use a strictly necessary cookie to keep the site secure. We do not use that for marketing.

The contact section includes an embedded Google map of Rochester, Kent. When the map loads, Google may set its own cookies and read technical data. That is covered by Google's privacy policy. You can call or WhatsApp without using the map.

Your rights

Under UK GDPR you can ask us to:

  • Confirm whether we hold personal information about you, and for a copy of it
  • Correct information that is wrong
  • Delete information, in the cases the law allows
  • Restrict how we use it, or object to use based on legitimate interests
  • Receive information you provided, in a portable form, where the right applies

Children

This website is for adults arranging building work. We do not knowingly collect personal information from children. If you believe we have, contact us and we will delete it.
